Spreadsheets can form part of an MTD record-keeping system, but you still need suitable compatible software and digital links to send the required information. Emailing an Excel file to HMRC is not an MTD submission. Agree how the spreadsheet and filing software connect before relying on them.
Two software shapes GOV.UK describes
In “Choose the right software for Making Tax Digital for Income Tax”, GOV.UK says you can get software that either:
- creates and stores digital records for you, or
- connects to existing records, such as those held in spreadsheets
The second type is sometimes called bridging software. GOV.UK’s example: if you use spreadsheets for income and expenses, bridging software can connect to them and make submissions to HMRC. Full accounting products may replace the spreadsheet entirely.
What “compatible” actually means
Whatever you choose must support your income sources (self-employment, UK property, foreign property as relevant), let you send quarterly updates and the tax return, and work with your accounting period (tax-year quarters or calendar update periods). Use HMRC’s software finder rather than assuming a VAT-only product covers Income Tax MTD.
What this means if you love Excel
You do not have to abandon every workbook overnight. You do need a product that HMRC’s finder treats as compatible, then you must authorise that software to connect to HMRC before the first quarterly update. GOV.UK’s “get your software ready” steps cover authorisation and checking your accounting period — you cannot change the period after the first update has gone.
Common mistake
Leaving spreadsheet tidy-up until the week of the first deadline. Bridging tools still need clean columns, consistent dates and complete income sources. Messy books create messy quarterly updates. Pair this page with MTD digital records and what quarterly updates contain.
Accountant-led option
Many people prefer an agent to operate the software and submissions. That is allowed: GOV.UK’s software guidance says you or an agent on your behalf use commercial software for records and filings. TaxSimba’s Making Tax Digital service is built around accountant-led support, not a claim that TaxSimba is HMRC or that we submit through a public “TaxSimba HMRC API” of our own. For eligibility first, use Check if MTD applies; when you want help running the digital process, get MTD support with TaxSimba.
Test the spreadsheet handover with sample records
Illustrative preparation example.
Before a deadline, ask how your workbook is imported into the compatible filing system and how errors are corrected. Test a small sample and compare the resulting totals. Sending a spreadsheet by email is not proof that the filing software has processed it or HMRC has received an update.
Check: Can you follow one record through the agreed digital process without rekeying reported data?
| Check | Practical action |
|---|---|
| Can the product connect to your actual records? | Check the digital transfer method and supported workbook format before committing. |
| Does it cover all relevant income sources? | Check self-employment, UK or foreign property and year-end capabilities as needed. |
| Who sends and checks the submission? | Agree responsibilities and retain the software acknowledgement for the period. |
Can I just upload an Excel file to HMRC?
A standalone spreadsheet is not the required submission route. Use compatible software that creates or connects the digital records and sends the required information.
Is a VAT bridging licence enough?
Check specifically for MTD for Income Tax support. VAT compatibility does not establish Income Tax functionality.
