Sole traders in MTD need digital business records, quarterly updates and an annual return through compatible software. Use gross qualifying income and the correct lookback year to check the start date. Keep the reporting dates separate from the tax payment schedule.
Looking for the managed service rather than the rules? That commercial page is MTD for sole traders.
When a sole trader is in scope
You need MTD when you are Self Assessment-registered with self-employment income (and sometimes property too) and your qualifying income (turnover before expenses) clears the look-back threshold. From 6 April 2026 that meant more than £50,000 on the 2024 to 2025 return; from 6 April 2027 it is more than £30,000 on 2025 to 2026; from 6 April 2028 it is more than £20,000 on 2026 to 2027. Profit after costs is the wrong figure for this test. Use GOV.UK or the MTD checker if you are unsure.
Digital records for a trade
Record sales, fees and allowable expenses with amount, date and category in software that works with MTD. Supporting invoices and bank exports still matter. If you run more than one sole-trader business, GOV.UK expects separate digital records, and separate quarterly updates, for each (for example electrician work and a separate tutoring trade).
Example: a freelance designer invoices a client £1,800 on 14 September 2026 (category: turnover/sales) and pays £45 for design software on 3 September 2026 (category: office costs, or the nearest match your software uses). Both sit in the digital records with the invoice and receipt kept as evidence, not reconstructed from a vague bank line in January.

Quarterly rhythm without the jargon
Software totals your digital records into category summaries every three months. Those summaries are not full tax returns, and HMRC does not see every receipt. Typical deadlines when periods align include 7 August, 7 November, 7 February and 7 May. For 2026 to 2027, late quarterly updates do not attract penalty points, but updates are still required before the return can be submitted.
Sole trader checklist for 2026/27
- Confirm scope (threshold + Self Assessment status).
- Authorise compatible software or an agent.
- Keep digital records from the start of the relevant tax year (catch up if you joined late).
- Send each quarterly update on time for every trade in MTD.
- At year-end, use the software route to adjustments, other income, reliefs and the tax return.
If you want accountant-led MTD support rather than DIY-only software, compare the offering on the sole trader MTD page. Always check current GOV.UK guidance for your trades.
Give a personal transfer a different label
Illustrative preparation example.
Your sole-trade account receives £700 from a customer and £500 from your savings. Keep the £500 transfer identifiable so it is not counted as another sale. Support the customer payment with the sales record and check any cash receipts separately.
Check: Can you explain every receipt without assuming that every deposit is turnover?
| Check | Practical action |
|---|---|
| One trade or several distinct businesses? | Identify reporting streams before setting up software and agree the classification with your adviser. |
| Any cash or platform receipts outside the feed? | Bring them into the records and reconcile them without duplicating bank transfers. |
| Who handles year-end work? | Confirm adjustments, other income and the annual return as well as quarterly submissions. |
Does the threshold use profit after expenses?
No. Qualifying income starts from gross self-employment and property income for the relevant look-back year. Costs and tax reliefs are separate calculations.
Can an accountant run the software process?
Yes, with appropriate authorisation and an agreed scope. You still need to supply complete source records and review questions about the figures.
