Identify gym employment, independent sessions, online coaching and prepaid packages separately. Keep the full receipts, refunds and business-cost evidence. Personal exercise, clothing or food does not automatically become deductible because you work in fitness.
Identify who pays you and why
Keep gym contracts, client invoices and online coaching statements. Separate wages taxed through PAYE from genuine self-employed session fees. Where a gym collects payments and retains an amount, establish whether it is paying wages or settling your business receipts after charges.
The contract wording alone may not settle employment status. Explain the practical arrangement if control, substitution or financial risk makes the position uncertain.
Track packages and refunds
A client may buy several sessions in advance, cancel or receive a refund. Keep records of the amount received, what was promised and any money returned. Your accounting method determines the relevant timing for the tax calculation.
For example, a bank deposit for ten sessions should be traceable to that client's agreement. It should not be entered again as new income every time a session is delivered without checking how the initial payment was recorded.
Business spending needs a business purpose
Gym rental, relevant insurance, booking charges and qualifying equipment may be allowable where the conditions are met. Ordinary sports clothing, personal gym use and personal food are not automatically deductible because you work in fitness.
Training costs require particular care. Updating skills used in an existing business and obtaining skills for a new activity can have different tax treatment. Keep the course details and explain their connection to the work.
Give the accountant a complete picture
Supply platform statements, cash income records, contracts, receipts and employment information. If clients pay from abroad, tell the accountant rather than assuming the platform has dealt with all tax consequences.
TaxSimba can confirm the appropriate personal tax service and required records. If you also sell products, run separate activities or approach MTD thresholds, raise those facts before the return is prepared so the scope matches how the business actually operates.
Check the home nation used for your tax calculation
Tell the accountant whether you live in England, Scotland, Wales or Northern Ireland, and about any moves during the tax year. Scottish rates differ for wages, pensions and most other taxable income; savings and dividends use UK rules. Welsh rates are set separately. Use the rules for the relevant year and your actual taxpayer status.
See Scottish Income Tax and Welsh Income Tax. These differences do not make a London address or an England-only earnings example appropriate for everyone.
Explain prepaid coaching and refunds
Illustrative preparation example.
Keep the terms and dates of prepaid coaching packages, sessions delivered and refunds. Tell the accountant the accounting method and any gym employment arrangement. Do not assume the same treatment applies to every payment simply because all the work is fitness related.
Check: What evidence explains the nature and timing of each kind of receipt?
| Check | Practical action |
|---|---|
| Who pays you under which arrangement? | Separate gym employment, direct clients and genuine self-employed contracts. |
| Can packages and refunds be traced? | Connect payments to agreements without double-counting sessions. |
| Is spending genuinely for the existing business? | Explain course content, equipment use and private elements before claiming. |
Are sports clothes automatically deductible for a trainer?
No. Ordinary clothing is not automatically allowable because it is worn for work. Give the accountant item details.
Can every fitness qualification be claimed?
Not automatically. The skills, business connection and current rules need checking; keep the course information.
